Backroom - polityka prywatności
PolskiEnglishUsunięcie konta i danych
1. Kto odpowiada za Twoje dane
Backroom to aplikacja dla pracowników i współpracowników firm. Pracownik zadaje pytanie głosem, a asystent odpowiada głosem na podstawie wiedzy firmy, do której ta osoba ma dostęp. Niektóre firmy używają aplikacji w trybie wywiad: asystent zadaje pytania z listy, a osoba odpowiada głosem.
Administratorem danych jest firma, która dała Ci dostęp do Backroom (zwykle Twój pracodawca albo zleceniodawca). Ta firma decyduje, kto ma konto, jaką wiedzę widzi asystent i do czego służą rozmowy.
PMKM Sp. z o.o. dostarcza aplikację i prowadzi serwer firmy. PMKM przetwarza dane w imieniu firmy, jako podmiot przetwarzający (art. 28 RODO).
- PMKM SPÓŁKA Z OGRANICZONĄ ODPOWIEDZIALNOŚCIĄ, ul. Miklaszewskiego 46E, 05-090 Dawidy Bankowe
- NIP 5213900003, KRS 0000847293, REGON 386387630
- Kontakt w sprawach prywatności: piotr.komisarski@pmkm.pl
2. Jakie dane przetwarzamy
Konto i logowanie
- System logowania przechowuje Twój adres e-mail, imię i nazwisko (nazwę wyświetlaną) i rolę w firmie. Przy logowaniu hasłem przechowuje też zabezpieczony skrót hasła.
- Po zalogowaniu aplikacja dostaje token sesji ważny najwyżej 24 godziny. Telefon przechowuje token i nazwę firmy w zabezpieczonym magazynie systemu (Keychain na iOS, Keystore na Androidzie). „Wyloguj" usuwa token z telefonu.
- Aplikacja potrzebuje dostępu do mikrofonu.
- Tekst Twojego pytania i odpowiedź asystenta.
- Przed pierwszą rozmową albo wywiadem aplikacja pokazuje ekran „Twoje dane i usługi AI”. Ekran wymienia firmy z sekcji 4, które dostają dane, i mówi, jakie dane dostają. Aplikacja pyta o zgodę.
- Bez Twojej zgody aplikacja niczego nie nagrywa i nie wysyła Twojego głosu ani tekstu do usług AI. Wtedy asystent nie działa.
- Zgodę możesz wycofać w każdej chwili: link „Zgoda na AI” u góry ekranu, potem „Wycofaj zgodę”. Telefon przechowuje zgodę dla Twojego konta w zabezpieczonym magazynie systemu, a wersja przeglądarkowa w pamięci przeglądarki. Gdy zmienimy listę firm albo Twoja firma zmieni tryb (rozmowa albo wywiad), aplikacja zapyta Cię jeszcze raz.
Tryb wywiad
- W trybie wywiad asystent prowadzi rozmowę według listy pytań przygotowanej dla Twojej firmy. Serwer firmy zapisuje tekst Twoich odpowiedzi i postęp wywiadu, żeby można było go kontynuować w kolejnych sesjach.
Zapisujemy tekst zgłoszenia, czas i powiązanie z rozmową. Nagrania zgłoszenia nie przechowujemy.
Dane techniczne
- Dziennik serwera WWW: czas, adres strony, kod odpowiedzi, dane przeglądarki i adres IP.
- Dzienniki usług Backroom: zdarzenia i błędy bez treści rozmów.
- Rozliczenie kosztów: identyfikator użytkownika, rodzaj usługi, ilość (sekundy nagrania, znaki, tokeny) i koszt.
3. Cele i podstawa prawna
Dane przetwarzamy, żeby:
- zalogować Cię i sprawdzić, do jakiej wiedzy firmy masz dostęp,
- w trybie wywiad: zadawać kolejne pytania, liczyć postęp i wysłać Ci podsumowanie wywiadu mailem,
- wyjaśniać błędy, obsługiwać zgłoszenia, chronić system i rozliczać koszty.
Podstawę prawną przetwarzania ustala administrator, czyli Twoja firma. PMKM przetwarza dane wyłącznie na polecenie firmy.
4. Komu przekazujemy dane
Do działania usługi korzystamy z tych dostawców:
| Dostawca | Do czego | Jakie dane |
|---|---|---|
| Hetzner Online GmbH (Niemcy) | serwer firmy i kopie zapasowe (centrum danych w Finlandii), serwery monitoringu PMKM | wszystkie dane opisane wyżej |
| Amazon Web Services (Amazon SES, centrum danych w Irlandii) | tryb wywiad: wysyłka maila z podsumowaniem w PDF | Twój adres e-mail, treść maila, PDF z podsumowaniem i analizą wywiadu |
| logowanie kontem Google, jeśli je wybierzesz | dane logowania Twojego konta Google | |
| Netlify | pliki strony logowania | dane techniczne zapytań o te pliki |
OpenRouter przekazuje zapytanie do dostawcy modelu. Według swoich zasad OpenRouter przechowuje dane o zapytaniu, np. liczbę tokenów, czas i koszt.
ElevenLabs i TypeSafe mogą przechowywać dane według swoich zasad.
5. Przekazywanie danych poza EOG
OpenRouter, TypeSafe, ElevenLabs i Exa to firmy z USA. Część dostawców modeli językowych też jest z USA, np. Google i Amazon Web Services. Ci dostawcy mogą przetwarzać dane w Stanach Zjednoczonych albo w innych krajach poza Europejskim Obszarem Gospodarczym. Do tego przekazania mają zastosowanie warunki ochrony danych każdego z tych dostawców. Na żądanie podamy szczegóły dla danego dostawcy.
6. Jak długo przechowujemy dane
| Dane | Okres |
|---|---|
| Kontekst bieżącej rozmowy | w pamięci serwera, do 15 minut ciszy |
| Pełny zapis zapytań do modelu językowego i odpowiedzi | 90 dni na serwerze firmy, dostęp tylko administratora technicznego PMKM, wyłącznie do wyjaśniania błędów |
| Tekst odpowiedzi i stan wywiadu (tryb wywiad), kopie PDF z podsumowaniem | na serwerze firmy, do usunięcia na polecenie firmy |
| Zgoda na usługi AI w telefonie | do wycofania zgody |
| Fakty w pamięci asystenta | do usunięcia; poprzednie wersje zostają w historii zmian wiedzy firmy |
8. Twoje prawa
Masz prawo do dostępu do danych, ich sprostowania, usunięcia, ograniczenia przetwarzania, przeniesienia oraz prawo sprzeciwu (art. 15-22 RODO). Wniosek złóż w swojej firmie, bo to ona jest administratorem. Możesz też napisać do PMKM na piotr.komisarski@pmkm.pl. Przekażemy wniosek firmie i pomożemy go wykonać.
Masz prawo złożyć skargę do Prezesa Urzędu Ochrony Danych Osobowych (ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl).
9. Usunięcie konta i danych
- Konto usuwa administrator Twojej firmy w jej systemie logowania. Możesz też poprosić o to PMKM: napisz z adresu przypisanego do konta na piotr.komisarski@pmkm.pl, temat „Backroom - usunięcie konta", i podaj nazwę firmy.
- Usuwamy wtedy konto, Twoją prywatną część wiedzy z pamięcią asystenta i Twoje zgłoszenia, w uzgodnieniu z Twoją firmą.
- Fakty zapisane w części wspólnej jednostki należą do wiedzy firmy. O ich usunięciu decyduje firma.
- Na telefonie: „Wyloguj" usuwa token, „Zmień firmę" usuwa też nazwę firmy. Odinstalowanie aplikacji usuwa jej pliki z telefonu.
10. Dzieci i zmiany polityki
Backroom jest przeznaczony do pracy w firmach. Nie jest skierowany do dzieci.
Gdy zmienimy sposób przetwarzania danych, zaktualizujemy tę stronę i datę wersji u góry.
English
1. Who is responsible for your data
Backroom is an app for employees and contractors of companies. You ask a question by voice. The assistant answers by voice, from the company knowledge that you have access to. Some companies use the app in interview mode: the assistant asks questions from a list and the person answers by voice.
The data controller is the company that gave you access to Backroom (usually your employer or client). That company decides who has an account, which knowledge the assistant can use, and what the conversations are for.
PMKM Sp. z o.o. supplies the app and operates the company server. PMKM processes data on behalf of the company, as a processor (Article 28 GDPR).
- PMKM SP Z O O, ul. Miklaszewskiego 46E, 05-090 Dawidy Bankowe, Poland
- Tax ID (NIP) 5213900003, KRS 0000847293, REGON 386387630
- Privacy contact: piotr.komisarski@pmkm.pl
2. What data we process
Account and sign-in
- You do not create an account in the app. Your company creates the account in its sign-in system (LabCR), which runs on the company server.
- You sign in with a Google account or a password. The sign-in system also supports two-step verification. With Google sign-in, the company receives your email address and name from Google.
- The sign-in system stores your email address, your name (display name) and your role in the company. With password sign-in it also stores a protected password hash.
- After sign-in, the app receives a session token that is valid for 24 hours or less. The phone keeps the token and the company name in the secure system storage (Keychain on iOS, Keystore on Android). "Sign out" removes the token from the phone.
- In the browser version (app.teambackroom.com) the token is in the memory of the browser tab and disappears when you close the tab.
Voice recordings
- The app needs microphone access. It records only while you hold the button. In interview mode it records from one tap of the button to the next tap, for 5 minutes or less. Background recording is turned off.
- The recording goes over an encrypted connection (HTTPS) to your company server. The server converts it to text and does not keep the recording.
- On the phone, the recording and the voice answer are temporary files in the app cache. The app deletes the recording right after it sends it, and the previous voice answer when a new one arrives. If the app goes to the background during a recording, the recording stops and the app does not send it.
Conversation content
- The text of your question and the assistant's answer. With each question, the assistant also sends your full name, job title, role and unit, your place in the company structure (the names of your supervisor, your direct reports and the people in the same job), and the company knowledge files that you have access to.
- The server keeps the last exchanges of a conversation until 15 minutes of silence, to understand the context.
- Assistant memory: when a lasting fact comes up in a conversation (for example "from October we close at 11 pm on Saturdays"), the assistant can save it in the company knowledge: in your private part or in your unit's part, only where you have write permission. A fact for a whole unit from a person without that permission first goes to the manager as a proposal.
Consent to share data with AI services
- Before your first conversation or interview, the app shows the screen "Your data and AI services". The screen names the companies from section 4 that receive data and says which data they receive. The app asks for your consent.
- Without your consent, the app records nothing and does not send your voice or text to AI services. The assistant does not work then.
- You can withdraw your consent at any time: tap the link "AI consent" at the top of the screen, then "Withdraw consent". The phone keeps the consent for your account in the secure system storage, and the browser version keeps it in the browser storage. When we change the list of companies, or your company changes the mode (conversation or interview), the app asks you again.
- When you withdraw your consent, the app stops: from then on it records nothing and sends nothing. The company server can still finish work on data that it already has, for example the interview summary and the PDF e-mail. The company deletes data stored on its server (section 6).
Interview mode
- In interview mode, the assistant follows a list of questions prepared for your company. The company server stores the text of your answers and the progress of the interview, so that you can continue in later sessions. It does not store recordings.
- After each closed topic and after the whole interview, you get an email with a summary and an analysis as a PDF. The email goes to the email address of your account through the Amazon SES service. PMKM, which operates the service, gets a copy of the email. A copy of the PDF stays on the company server.
Wrong-answer reports
- With the red circle you can report a wrong answer, by voice or text. We store the text of the report, the time and the link to the conversation. We do not keep the voice recording of the report.
Technical data
- Web server log: time, page address, response code, browser data and IP address.
- Backroom service logs: events and errors without conversation content. People appear under a pseudonym, not under their name.
- Performance measurements: stage times, recording size, number of characters. No content.
- Cost accounting: user identifier, type of service, quantity (seconds of audio, characters, tokens) and cost.
What we do not collect
The app does not collect location, contacts, photos or files from your phone. It has no ads, no advertising identifiers and no third-party analytics or tracking tools. The app connects only to your company server (company-name.teambackroom.com).
3. Purposes and legal basis
We process data to:
- sign you in and check which company knowledge you can access,
- convert speech to text, prepare the answer and convert it to speech,
- remember facts from conversations when the assistant finds them lasting,
- in interview mode: ask the next questions, count the progress and send you the interview summary by email,
- investigate errors, handle reports, protect the system and account for costs.
The legal basis is set by the controller, your company. PMKM processes data only on the company's instructions.
4. Who receives data
We do not sell data and do not use it for ads. To run the service we use these providers:
| Provider | Purpose | Data |
|---|---|---|
| Hetzner Online GmbH (Germany) | company server and backups (data center in Finland), PMKM monitoring servers | all data described above |
| ElevenLabs (USA) | speech to text and text to speech | recording of the question or of the interview answer, text of the assistant's answer |
| OpenRouter (USA) and the language model provider that OpenRouter selects: Anthropic (Claude models, through Amazon Web Services or Google), Google (Gemini models), Mistral AI | preparing answers and organizing assistant memory; in interview mode the next questions, the summary and the analysis | conversation text, prompt data (full name, job title, role, unit, the names of your supervisor, your direct reports and the people in the same job), company knowledge files; in interview mode the text of your answers, your first name and the company name |
| TypeSafe (USA) | deciding if a conversation contains a fact worth remembering | exchange text, job title and unit, no email address and no name |
| Exa (Exa Labs, USA) | web search when the user asks for it | search phrase that the agent builds from your question, without your email address or your name |
| Amazon Web Services (Amazon SES, data center in Ireland) | interview mode: sending the email with the PDF summary | your email address, the email text, the PDF with the interview summary and analysis |
| Google sign-in, if you choose it | sign-in data of your Google account | |
| Netlify | files of the sign-in page | technical data of requests for these files |
Language model providers receive data only through connections with no data retention (Zero Data Retention) and with model training on the data turned off. PMKM turned on these settings on the server of each company that uses the app. So the language model provider does not keep the data after it answers and does not train models on it.
OpenRouter sends the request to the language model provider. Under its own terms, OpenRouter keeps data about the request, for example the number of tokens, the time and the cost.
ElevenLabs and TypeSafe can keep data under their own terms.
Exa can keep search phrases under its own terms and use them to improve its services, including to train models.
5. Transfers outside the EEA
OpenRouter, TypeSafe, ElevenLabs and Exa are companies from the USA. Some language model providers are also from the USA, for example Google and Amazon Web Services. These providers can process data in the United States or in other countries outside the European Economic Area. The data protection terms of each provider apply to these transfers. On request, we give you the details for each provider.
6. How long we keep data
| Data | Period |
|---|---|
| Voice recording on the server | not stored; only for the time of conversion to text |
| Context of the current conversation | in server memory, until 15 minutes of silence |
| Full record of language model requests and answers | 90 days on the company server, access only for the PMKM technical administrator, only to investigate errors |
| Text of answers and interview progress (interview mode), PDF summary copies | on the company server, until deleted on the company's instruction |
| AI consent on the phone | until you withdraw it |
| Facts in the assistant memory | until deleted; earlier versions stay in the change history of the company knowledge |
| Wrong-answer reports | until handled and deleted on the company's instruction |
| Web server log | 14 days after the log file is closed |
| Backroom service logs (with pseudonyms) | 30 days on the company server, 90 days on the PMKM monitoring server |
| Sign-in account | until the company deletes the account |
| Token on the phone | 24 hours or less, or until sign-out |
The company server makes an encrypted backup every night. Data deleted from the system can stay in these backups for some time.
7. Security
- Each company has its own server. A company cannot see the data of another company.
- Connections are encrypted (HTTPS). The session token is in the secure storage of the phone.
- The assistant reads only the knowledge files that you have permission for. The system enforces this split, not the instructions given to the model.
- Keys for external services are only on the server, never in the app.
8. Your rights
You have the right to access, rectify and erase your data, to restrict processing, to data portability and to object (Articles 15-22 GDPR). Send your request to your company, because it is the controller. You can also write to PMKM at piotr.komisarski@pmkm.pl. We will forward the request to your company and help to carry it out.
You have the right to lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (Prezes UODO, ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl), or with the authority in your country.
9. Deleting your account and data
- The administrator of your company deletes the account in the company sign-in system. You can also ask PMKM: write from the address of your account to piotr.komisarski@pmkm.pl, subject "Backroom - account deletion", and give the company name.
- We then delete the account, your private part of the knowledge with the assistant memory, and your reports, in agreement with your company.
- Facts saved in the shared part of a unit belong to the company knowledge. The company decides about their deletion.
- On the phone: "Sign out" removes the token, "Change company" also removes the company name. Uninstalling the app removes its files from the phone. On an iPhone, Keychain data can stay after uninstalling, so choose "Sign out" first.
10. Children and changes
Backroom is made for work in companies. It is not directed at children.
When we change how we process data, we update this page and the version date at the top.
